What is Verified Carrier Status?

Becoming a Verified Carrier will give you and your carrier permission to request loads from shippers & brokers on the Super Loadboard!

By entering and uploading the following information, your carrier will have a Verified Carrier status:

  • Carrier info (can be filled out inside your Carrier Profile)

  • W9 File

  • USDOT Certificate (sometimes called an MC Letter of Authority)

  • Certificate of Insurance (cargo insurance file, expiration date, cargo limit, deductible, agent name, agent phone)

As long as there are no issues with any of your documents, you will receive Verified Carrier status 24 to 48 hours after submitting all documents & will be able to request loads directly from Brokers/Shippers using our Shipper TMS.

Regardless of your Verified Carrier status, you may still continue using the Super Dispatch platform. We suggest you maintain a Verified Carrier status; doing so helps create trust between parties on Super Dispatch as our Shippers and Brokers prefer to work with Verified Carriers.

Remember to check your emails! Our compliance team will notify you via your account's primary email address if there is an issue with your documents.


Getting Started

BECOMING A VERIFIED CARRIER

Becoming a Verified Carrier will give your carrier the ability to request loads on the Super Loadboard, among many other benefits. Some benefits of having Verified Carrier status are:

By entering and uploading the following information in your Carrier Profile your account will be submitted for Verified Carrier status:

  • W9 Form (Not sure what this is? Click HERE)

  • USDOT Certificate

  • Cargo Insurance information (cargo insurance file, expiration date, cargo limit, deductible, agent name, agent phone)

If all looks good, you will receive Verified Carrier Status. You will then be able to get Load Offers directly from Brokers/Shippers using Shipper TMS and will have unlimited access to the Super Loadboard! This will also make you eligible for Instant Booking on the Super Loadboard (pending broker/shipper approval).

*Note* Effective September 1st, 2022, carriers must have Verified Carrier status on Super Dispatch to request loads via Super Loadboard. If you are not Verified, you may continue using the Carrier TMS and Mobile App and can still receive direct Load Offers from Shippers. If any Shipper has issued your company Approved or Can Instanly Book status, you may request or book loads with that shipper. However, we suggest that you maintain a Verified Carrier-approved status as most shippers and brokers prefer to work with Verified Carriers.

SUBMITTING YOUR DOCUMENTS

To get started, click on the person icon with your business name in the bottom left corner if you're on the Carrier TMS. Select "Carrier Profile" from the available options. If you're on the mobile app, click "Profile" and then your business name to reveal the Verified Carrier document center.

From here, you will see 4 fields to fill out:

Step 1: Fill out Carrier Information

First, fill in all required fields on your carrier profile page and click on Save.

Step 2: Fill out Cargo Insurance

Upload your Certificate of Insurance document.

Requirements:

  1. The company name listed on your insurance document matches the company name on your Super Dispatch account

  2. Cargo insurance coverage is included -- usually, this is listed as "Motor Truck Cargo" or "On-hook"

  3. The policy effective date and policy expiration date must be visible and still effective (not expired)

  4. Add Super Dispatch as a Certificate Holder. This will make your verification process go by much quicker. Here is the information that you will need to give your insurance provider:

If you are getting the notification on your carrier profile that your Verified Carrier documents have been Reviewed, this means that Super Dispatch is still waiting for confirmation of your cargo insurance verification from our 3rd party compliance monitoring service:





To expedite your insurance verification, you can have your insurance agent send a copy of your Insurance to [email protected] with Super Dispatch listed as the certificate holder. Super Dispatch's address is:

Please make sure to include your DOT # in the email, as well as:

1. The insured party

2. Policy Expiration Date

3. Motor Truck Cargo Limit

4. Super Dispatch's name and address


Once the COI has been emailed to [email protected], please allow up to 5 business days for the Compliance team to verify your account. In the meantime, you are still able to utilize the Super Dispatch mobile app for inspections and BOLs. You can also browse the loadboard and request to book loads. Note* Some Brokers/shippers will NOT dispatch to you until you are verified through our platform

To finish Step 2, fill in all required fields for your Cargo Insurance and click Save.


Step 3: Upload W-9
Requirements:

  1. The company name listed on your W-9 matches the company name on your Super Dispatch account

  2. Part 1 - the Taxpayer Identification Number must be filled in

  3. Make sure the document is signed and dated

To finish Step 3, upload your W-9 and click Save.

Step 4: Upload USDOT Certificate
Please upload the USDOT certificate that was mailed or emailed to you by FMCSA or a document showing your Operating Status is ACTIVE/Authorized for Property.

If you operate Intrastate, please upload your Motor Carrier Permit/Certificate issued by your state's Department of Motor Vehicles.

To finish Step 4, upload your USDOT certificate and click Save.


When you have completed all 4 steps and click Save, your application to become a Verified Carrier will be submitted! We will let you know if there are any issues with the submitted documents.

DRIVER APP

Submitting for Verified Carrier on mobile is very similar to the process above:

1. In the app, click Profile
2. Next, click the carrier name
3. From there, click all of the respective Certificates and Documents

4. Upload the files

Our compliance team receives many hundreds of documents per day regarding the Verified Carrier program at Super Dispatch. This article is intended as a guide to inform you of what is not acceptable for the three categories of W9, USDOT Certificate, & Cargo Insurance.


DOT/MC Certificate of Authority:

Sometimes carriers will submit documents from the FMCSA that are not their letter of authority or give them authority to operate. Some examples of these are:

Notice how none of these examples state anything about the carrier’s authority being granted. If you'd like to know which document to upload, please refer to this article.

COI:

Bad insurance is usually because of two things: the insurance is expired (or the carrier has not updated us with their current insurance), or cargo coverage is not listed. In the examples below you will notice that nowhere is any form of cargo coverage listed:

Carriers may also submit their insurance ID cards, you may be familiar with these if you drive in the United States. These contain information about your vehicle insurance that will be crucial if you get in an accident BUT they do not state anything about cargo coverage and as such they are invalid:

W9:

Finally, there is the FORM W9. It is the easiest to obtain & fill out of all three (blank W9s can be found through the IRS: https://www.irs.gov/pub/irs-pdf/fw9.pdf ). There isn't much to check when it comes to vetting W9s but the most common mistake carriers make in submitting them is not signing & dating the document:


Why can't my documents be verified?

Currently, Super Dispatch's Compliance process can only accurately and securely verify US-based interstate haulers, meaning that if you are an intrastate, driveaway, tow company, or a Canadian carrier, we currently do not have a process to securely monitor your authority status.

Super Dispatch currently uses a 3rd party monitoring system that can ONLY verify US-based Interstate carriers.

If you have gotten a message through our Verification system that your documents cannot be processed, it may be that your company type or business location does not meet the requirements for compliance monitoring with the tools we currently have available.

Super Dispatch welcomes all carrier types to our platform to utilize our software, but unfortunately at this time only Interstate carriers can be verified and monitored. However, you can still book loads off the loadboard with shippers who manually mark your carrier profile Approved and/or Can Instanly Book:

If marked Approved by a Shipper - you can Request and Bid on loads

If marked Can Instanly Book by a Shipper - you can Book Now (Instant Book), and Request and Bid on loads

To request Approved/Can Instanly Book status for a certain shipper, simply reach out to the shipper and inquire about how to get approved by them.


Pending Status

Effective September 1st 2022, Super Dispatch has a new policy for our verification process for new and/or unverified carriers. Upon sign up, new carriers will be given limited access to the Super Loadboard. This means that new carriers can view loads on the Super Loadboard, but will NOT be able to request loads until our Compliance department has reviewed your Verified Carrier application.

Upon submission of your documents, your account will be marked as Pending until our Compliance team has approved your submission. This process can take anywhere from 1-2 business days depending on the accuracy of the documents you submit to become a Verified Carrier.

Once approved, you can start requesting loads right away! If your account is still not verified, you can request loads ONLY if the shipper you are requesting has marked you Approved from their account. The shipper can also mark you Can Instanly Book, which means that you can also utilize the Book Now instant booking feature in addition to requesting/bidding on that shipper’s loads.

Frequently asked questions:

  1. How do I know if I become Verified?

    Carrier will receive an email notification and will see the Verified badge inside the Profile section of the Carrier TMS.

  2. What can I do while my documents are being reviewed?

    While Super Dispatch is reviewing the submitted documents, carriers in Pending Status have limited access to the Super Loadboard. You can search Super Loadboard but, Unverified and Pending Carriers will not be able to request loads from any shippers while in Pending verification status.


  3. How long does it take for Super Dispatch to review documents?

    On average it takes up to 5 business days to review and verify the documents, depending on the accuracy of the documents submitted.

  4. Can Support tell me when I will be Verified?

    Unfortunately, our Support Team cannot inform you when Verified Carrier applications in Pending status will be approved. Still, if there are any issues with your application, our Compliance Team will reach out immediately. You'll also receive a notification by email and inside Super Dispatch Carrier TMS and Mobile App.


Intrastate Carriers

Let's say you're a carrier operating intrastate only & you'd like to become verified on Super Dispatch so you can use the load board. Luckily this is possible, with one caveat: we can only verify carriers which have active authority with the FMCSA to haul cargo interstate. If you intend to only take loads within your state that is fine, but in order to be verified with us you will need to have that interstate authority in addition to your state's authority.

We know not every carrier will have an MC letter of authority from the FMCSA (especially those who only haul within their home state) so we do accept a handful of alternatives to that letter. This article will go over those alternatives.

  1. State of California - CA Motor Carrier Permit

    This permit is issued by the state of CA & grants permission to operate "for hire" in intrastate commerce.

  2. State of Texas - Texas DMV Certificate

    This certificate is issued by the state of TX & grants permission to operate in intrastate commerce.

  3. State of Florida - MCMIS Letter

    The state of Florida issues these letters to carriers who have met the requirements of becoming an intrastate carrier there.

    note: while these documents are acceptable materials to verify your Super Dispatch account they are not the equivalent of interstate operating authority issued by the FMCSA. You will need to have active authority with the FMCSA in order for us to verify you.


How does Super Dispatch Monitor Carrier Compliance?

Keeping our carrier base verified and up to date with all of the company's legal documentation is of the utmost importance here at Super Dispatch. In addition to a stellar Support Team, we also have a dedicated Compliance team that verifies, updates, and monitors carriers on a daily basis, and is dedicated to keeping Carriers up to date with their authority statuses. Here is how our Compliance team accomplishes this task:

  • The Super Dispatch system checks the FMCSA database daily to confirm active Carrier authority.

  • If the FMCSA confirms a lapse in Authority, the carrier' status is Revoked.

  • If Super Dispatch receives notification from the Carrier’s insurance agent of a lapse or change in insurance, Carrier’s Verified status is Revoked.

  • When Carrier’s insurance expiration date is reached and no new insurance information has been provided prior to the expiration, Carrier’s Verified status is automatically Revoked.

  • If Carrier is revoked for any of the above reasons, the Carrier will need to resubmit a new application for verification to the Compliance Team.

  • Super Dispatch also utilizes a 3rd party software to track and confirm legal incorporation.

Only Verified Carriers can request to book on the Super Loadboard, so you can rest assured that if you receive a load request from one of our carriers, they have been vetted by our team. You can still dispatch loads to carriers who have not submitted their documentation to our Compliance Team by using the Direct Load Offer process, however, we typically recommend making sure that all of the carriers you work with are vetted on some level (either by Super, or your internal team).

*Please note: Super Dispatch ONLY monitors a carrier's legal incorporation, Authority Status, and Cargo Insurance. The Verified Carrier process does NOT include performance indicators (Safety Violations, HOS, Inspections, etc.)
