How to Integrate with EDI
When you are prepared to integrate with an OEM, or if you are currently in the process, kindly contact Super Dispatch Support with the following integration details:
Which OEM are you planning to transport vehicles for?
Do you currently have a formal agreement in place?
What is the duration of the contract, or the scale of the spot buy, diversion, or special move?
How many VINs are involved (annually, monthly, or one-time)?
Do you have a direct contact at the OEM provider with whom we can coordinate to ensure smooth testing?
If you are already in communication with the OEM, it is highly recommended that you include Support in the conversation to facilitate a more efficient integration. Support will clarify the necessary details, engage the required personnel, and promptly initiate the integration process.
Integration Process
The integration process typically requires approximately two weeks to set up and test for supported OEMs. Integrating new OEMs may take longer, as it involves implementing additional specifications. Our team will maintain close communication throughout the integration process to ensure a smooth and efficient transition.
Once the OEM confirms the integration, Super Dispatch will automatically start importing shipments and creating loads on Carrier TMS.
How EDI Integration Works
With the EDI integration, the majority of processes are automated, significantly enhancing efficiency and reducing manual effort. Below, we will go over some additional things you can do with this integration.
Customizations
Carriers can customize two settings regarding EDI:
Load ID Prefix: As loads are created automatically, Carrier TMS uses Internal Load ID and a prefix for Load ID. By default, the prefix is “EDI Load #” which is displayed as “EDI Load #1034” with Internal Load ID. This can be customized per integration/OEM. For example, you may want all loads imported from KIA are prefixed as “KIA EDI #”.
Maximum Load Capacity: Vehicles are bundled into loads automatically and this setting indicates how many vehicles are in one load. Based on your fleet’s capacity you may want to specify this to have less hassle when moving loads at scale.
Note: Both settings can be changed by talking to our Support.
Advance Shipping Notice
When OEM assigns shipments to you, Super Dispatch receives advance shipping notice and creates vehicles/loads on Carrier TMS for you. Advance shipping notices (ASN) contains vehicles that aren’t confirmed and may be canceled by OEM.
Carrier TMS adds an internal note to a load with vehicles that aren’t ready to move:
Once all vehicles becomes ready to move, Carrier TMS adds another internal note to the load:
Load Flow
Carrier TMS provides a seamless integration with EDI, automating many processes and ensuring compliance with OEM requirements. This integration streamlines the handling of shipments, from creation to delivery, maintaining consistency and accuracy throughout the process. Below is an overview of the flow and specific actions taken within Carrier TMS when integrated with EDI.
Inspection Type Configuration:
Carrier TMS sets the inspection type to AIAG for all loads created from EDI. Carriers or drivers must not change this setting as it is required by both OEM and EDI standards.
Notes and Interval Updates:
If the OEM sends the latest pickup or delivery intervals, these are added to the Pickup or Delivery Notes to ensure accurate scheduling and coordination.
Automatic Load Creation:
Shipments Assigned: Loads are automatically created from advance shipping notices when shipments are assigned to you.
Shipments Canceled: If the OEM cancels shipments, the matching vehicles are removed from the loads.
Date Changes and Notifications:
Pickup or Delivery Dates Changed: When pickup or delivery dates are changed, the OEM is notified to ensure all parties are aware of the updated schedule.
Inspection Updates:
Pickup Inspection Start: When the driver starts a pickup inspection, the OEM is updated that the driver has arrived at the origin.
Pickup Inspection Completion: Upon completing the inspection, the OEM is updated with the shipment status (picked up) and any pickup damages noted.
Delivery Inspection Start: When the driver starts a delivery inspection, the OEM is updated that the driver has arrived at the destination.
Delivery Inspection Completion: Once the delivery inspection is finished, the OEM is updated with the shipment status (delivered) and any delivery damages noted.
