Integrating QuickBooks Desktop with Carrier TMS

    Introduction

    Connecting QuickBooks Desktop to Carrier TMS syncs your invoices automatically. Every time you create and send an invoice in Carrier TMS, the same invoice is created in QuickBooks Desktop through the QuickBooks Web Connector.

    This video shows how to connect QuickBooks Desktop to Carrier TMS, from opening the QuickBooks Integration settings to setting up the Web Connector. Every step is also written out below.

    How to Connect QuickBooks Desktop

    Step 1: Log In to Carrier TMS

    • Log in to Carrier TMS.

    Step 2: Click the Profile Icon

    • Click the profile icon in the lower-left corner.

    Step 3: Click Settings

    • Select Settings.

    Step 4: Click Quickbooks Integration

    • In the Settings menu, click Quickbooks Integration.

    Step 5: Click Show How to Connect

    • Under QuickBooks Desktop, click Show How to Connect.

    Step 6: Open QuickBooks Desktop

    • Open QuickBooks Desktop.
    • If you have more than one company, open the company file you want to connect to Super Dispatch.
    Note: To switch companies, select File > Open Previous Company, then choose the company from the list.

    Step 7: Download and Open the QWC File

    • Download and open the QuickBooks Web Connector (QWC) file. This file connects your Super Dispatch account to your QuickBooks Desktop company file.

    Step 8: Approve the Security Window

    • In the first security window, click OK.

    Step 9: Allow Access When the Company File Is Open

    • Select Yes, whenever this QuickBooks company file is open. This lets Super Dispatch send data to your company file and keep it in sync whenever the file is open.
    • Click Continue.

    Step 10: Confirm Access

    • In the Access Confirmation window, click Done.

    Step 11: Enter the Password

    • In the QuickBooks Web Connector, enter the 4-digit password 6343 in the Password field and press Enter.
    • Choose to save the password when prompted.

    Step 12: Select the Super Dispatch Application

    • Check the box to the left of the Super Dispatch application.
    • Click Update Selected.

    Step 13: Turn On Automatic Updates

    • Check the box under Auto-Run.
    • In the Every-Min field, enter how often, in minutes, the Web Connector should sync. For example, enter 10 to sync with Super Dispatch every 10 minutes.

    QuickBooks Desktop is now connected to Carrier TMS.
