Introduction
At Super Dispatch, ensuring that carriers are verified and compliant with industry standards is a top priority. Our dedicated Compliance Team works daily to verify, update, and monitor carriers, ensuring their legal documentation is up to date. Below is a detailed breakdown of what is required to achieve Verified Carrier status.
Monitoring Carrier Compliance
We are going to be covering all of the ways Super Dispatch monitors Carrier compliance.
Step 1: Information Required from the Carrier
Carriers are required to provide the following details when creating a Carrier TMS account:

Company Name (must match across all documents)

Company Address
-
Contact Information (phone and email)
-
Year Established (In Business Since)
-
USDOT Number
Step 2: Required Documents for Verification
Carriers must upload and submit the following documents to apply to be a Verified Carrier on Super Dispatch:
W-9 Form

The legal company name and DBA (if applicable) must match the account information.

The signature and date must not be older than two years.
Certificate of Insurance (COI)
-
Must include the insurance agency’s contact information.
-
Must show valid Cargo policy coverage.
USDOT Certificate
-
Must be issued by USDOT/FMCSA.
-
Must include a valid Motor Carrier number.
Step 3: Compliance Team Review Process
Once the required information and documents are submitted, our Compliance Team will review them thoroughly. This includes the following:
1. Authorization Confirmation:

Carrier must verify Phone Number listed on the FMCSA database.
-
Can be verified by either Phone Call or SMS.
-
Failure to confirm will result in an automatic decline.
Note: The phone number must match what is listed on the FMCSA website.
2. W-9 Review:
-
The legal entity must match the records on the Secretary of State website.
-
The company must be active, in good standing, and legally operating.
-
The legal entity name must match the COI and USDOT records.
3. Certificate of Insurance Review:

The COI must match data provided by the insurance agency, including coverage details and expiration date.

If any discrepancies arise, our Compliance Team will reach out to the insurance agency directly to confirm the COI.
4. USDOT Certificate Review:
-
USDOT number must match the FMCSA database.
-
Carrier must be “AUTHORIZED for Property” and authorized for “Motor Vehicle” cargo.
5. Reliability Assessment:

Compliance Check: The W-9, COI, and USDOT must all be valid. Carriers with valid documents will proceed with the scoring process.

Years in Business: Carriers will earn a score based on their years in operation. There is no minimum required to qualify.

Safety: Carriers will receive a score based on FMCSA safety standards.

Operations: Scoring is also based on operational standards as reported by FMCSA.

Platform Ratings: Super Dispatch ratings and third-party platform reviews will be considered. Our team will also check for specific negative feedback (e.g., double-brokering, damage, lost cargo) over the past 90 days. Negative keywords will reduce the carrier’s score.
Final Step
After completing all the reviews and checks, the final score will determine whether the carrier is APPROVED or DECLINED. This decision is final and cannot be appealed.
Step 4: Notification of Verification Status
Once the review is completed, the carrier will receive an automated notification of their status:

Approved: The carrier can immediately start booking loads on the Super Loadboard.

Declined: The carrier can reapply for verification after 30 days.
Ongoing Monitoring Process
After a carrier is verified, Super Dispatch continuously monitors the carrier’s status through a third-party system:
- Authority Status: Carriers must maintain an “AUTHORIZED for Property” status.
- Insurance Validity: Carriers must have an active Cargo policy at all times.
Note: Failure to maintain authority or insurance will result in the automatic or
manual revocation of the verified status. If the insurance expiration date passes
without new information, the carrier’s verified status is automatically revoked.
In the event of any rule violations or terms breaches, our Compliance Team will investigate and decide if the carrier's verified status should be revoked.
If revoked, carriers may submit a new verification request once all issues are resolved.
Only Verified Carriers Can Book on the Super Loadboard
Only verified carriers can book loads on the Super Loadboard, ensuring that all load requests come from thoroughly vetted carriers. You can still dispatch loads to non-verified carriers using the Direct Load Offer process, but we recommend working with verified carriers whenever possible to ensure compliance and safety.
Note: Super Dispatch ONLY monitors the legal incorporation, authority status, and
cargo insurance of carriers. We do not include safety violations or inspections in the
verification process. We encourage you to vet carriers as thoroughly as possible, and
our team is here to assist in that process.
