Introduction
The Carrier Import feature in Shipper TMS allows shippers to quickly add or update multiple carriers at once by uploading a CSV file. This feature is designed to streamline the process of managing carrier relationships, whether you're onboarding new partners or updating existing records.
How to Import Carriers via CSV
Follow the steps below to upload your carrier list into the Manage Carriers section of Shipper TMS.
Step 1: Prepare Your CSV File
Before uploading, make sure your file meets the following requirements:
- File format: CSV (.csv)
- Maximum size: 10 MB
- Maximum rows: 5000 carriers per file
Step 2: Required and Optional Fields
Your CSV file must include at least one of the following required fields per row:
- USDOT Number
-
Carrier Status – Must be either
ApprovedorBlocklisted
You can also include these optional fields to help manage your carriers more effectively:
- Certificate of Insurance Holder
- Certificate Expiration Date
- External ID
- Legal Carrier Name
Step 3: Enable Instant Booking (Optional)
If you want a carrier to be eligible for Instant Booking, be sure to:
- Set their Status to
Approved
Instant Booking is only available for carriers with Approved status.
Note: To learn more go to How to Mark Carriers as “Can Instantly Book” in Shipper TMS
Step 4: Import Settings
During the import process, you can choose to:
- Update existing carriers – This option will override any matching carriers already in your system based on USDOT or MC Number.
- Upload multiple files – There are no limits to the number of CSVs you can upload. Each one will be processed separately.
Step 5: Upload and Monitor Status
Once uploaded, the import process will begin. Shippers will receive a confirmation email detailing the success or failure of each carrier row.
If any carriers in your list do not already have a Super Dispatch account, they will automatically receive an invitation to join the platform.
Best Practices
- Double-check that either USDOT or MC Number is included for each carrier.
- Use consistent formatting for fields like dates and carrier names to avoid errors.
- Always review your import status email for any failed records and correct them for re-upload.
