Introduction
This article explains how to invite new users in Carrier TMS, assign them roles, transfer admin rights, deactivate or reinvite users, and understand what each role can access or manage. Use this guide to onboard new team members—such as drivers, dispatchers, or accountants—and ensure they have the right permissions for their responsibilities.
⚠️ Important: Carrier TMS admins and dispatchers cannot update a driver's personal information — such as their phone number or email address — on their behalf. Personal details can only be updated by the driver themselves directly in the Driver App. If a driver's contact information needs to be changed, please ask the driver to update it from their own device.
Step-by-Step: How to Invite a User
You can invite drivers, dispatchers, or any team member from the Users tab inside Carrier TMS. Each role grants different access levels depending on their duties.
Step 1: Log in to Carrier TMS
Go to carrier.superdispatch.com/tms/login and sign in to your account.
Step 2: Open the Users Tab
From the left-hand navigation menu, click on Users to view and manage all members of your Carrier team.
Step 3: Click "+ Invite User"
In the top-right corner, click + Invite User to open the invite form.
Step 4: Fill Out User Details
Enter the user's name, phone number, and email address. Under Permissions, choose the appropriate role:
- Driver – Grants access only to the Driver App.
- Dispatcher – Grants access to Carrier TMS for load management and dispatching.
- Accounting – Grants access to billing, invoicing, and financial reports.
- Operations – Grants access to user and system management functions.
⚠️ Note: The phone number and email you enter here are used to send the invite only. Once a user has joined, their personal contact information cannot be edited by an admin or dispatcher in Carrier TMS. Only the user can update their own phone number and email — drivers do this from the Driver App, and TMS users from their own profile settings.
Step 5: Send the Invite
Click Send Invite to send the invitation. The invited user will receive both a text and an email with instructions to join your Carrier account.
Deactivating and Reinviting Users
You can deactivate users who no longer need access to Carrier TMS or reinvite them later if they need to return. This helps you manage paid seats and maintain accurate team access.
Step 1: Go to the Users Tab in Carrier TMS
From the left-hand navigation menu, click on Users to view all members of your Carrier account.
Step 2: Select the User You Want to Deactivate
Click on the user's name to open their profile, then click the three-dot menu and select Deactivate.
Step 3: Reinvite a User
To restore a deactivated user's access, go back to the Users tab, find the user under inactive members, and click Reinvite. The user will receive a new invitation link by email or text to rejoin the account.
Becoming the Account Admin
Only verified Account Admins can manage users, update billing details, or make company-wide changes in Carrier TMS. If you need to become the Account Admin, you must contact Support to verify your ownership or authorization.
When reaching out to Support, please include:
- Your full name
- Company name
- Email address
- Phone number
- Brief explanation that you'd like to become or verify the Account Admin
Once verified, Support will update your access level to Account Admin and confirm your permissions. This process helps protect company data and ensures only authorized users can manage critical settings.
Roles Summary & What They Can Do
Each role determines what a user can access and manage within Carrier TMS. The table below summarizes key permissions and restrictions for each role.
| Role | Typical Use Case | Key Permissions / Restrictions |
|---|---|---|
| Account Admin | Top-level user (e.g. company owner or primary admin) | Has full access to Carrier TMS and Driver App, including billing and user management. |
| Dispatching | Logistics and load planning | Can create, edit, send, and delete loads; manage trips; cannot access billing or reports. |
| Accounting | Finance and billing teams | Can manage invoices, reports, and billing; limited access to load management. |
| Operations | Support or admin support roles | Can manage users and operations; limited access to accounting and Loadboard settings. |
| Driver | Drivers using the Driver App | Access only to the Driver App; no Carrier TMS permissions. |
Troubleshooting Invite Issues
If your invite isn't being received, try these steps:
- Double-check that the user's email and phone number are entered correctly.
- Ask them to check spam or junk folders for the invite email.
- Share the Super Dispatch Driver App links directly if inviting a driver:
- iPhone: Download for iOS
- Android: Download for Android
Quick Recap
To summarize:
- Use the Users tab to invite, deactivate, or reinvite users.
- Each role controls what users can view and manage in Carrier TMS.
- Check invites carefully to avoid typos or missing contact details.
- Drivers must update their own personal information (phone number, email) from the Driver App — this cannot be done by an admin or dispatcher in Carrier TMS.
Managing your users properly helps keep your Carrier TMS organized and ensures the right people have the right access.
